Aruva is a web application where your organization provides AI assistants for learning and work. Depending on your role and permissions, you can chat with assistants, browse structured courses (Smart Syllabus), and - if you are an administrator - manage users, assignments, and analytics.
Use the Login page with your email and password, or choose Sign in with Google or Microsoft. Your organization decides which methods are enabled.
After a successful sign-in you are taken into the app. Many users land on Assistants or their last-used area.
Confirm your email address if your organization requires verification - check your inbox and spam folder.
Make sure you are using the same email you registered with and that Caps Lock is off for your password.
If you still see an error, use any “Resend verification” link shown on the login screen or contact your administrator.
Most users open Assistants to start or continue a conversation. If you have Smart Syllabus access, you may also open Smart Syllabus from the top navigation.
Administrators use Admin Panel for organization setup, assignments, and reporting.
An assistant is an AI profile configured by your organization - with instructions, knowledge, and allowed capabilities (for example text chat, files, or web search).
You only see assistants that have been assigned to you or to a group you belong to.
Many schools use context-aware access: your department, course, and group determine which assistants you may use and how usage is recorded.
Choose the context that matches where you are studying or working so the correct assistants appear.
A thread is one ongoing conversation with an assistant. Use “New chat” when you want a fresh topic so replies stay focused.
Older threads stay in your sidebar or thread list so you can return to them later.
If your assignment allows it, you can attach documents so the assistant can refer to them. Follow your instructor’s or employer’s rules on copyright and sensitive data.
Sometimes replies include references to sources (such as uploaded material or knowledge-base documents). Use those references to verify facts and read the original context.
Some assistants may support voice input or image-related features depending on how your organization configured permissions and limits.
If you do not see those options, your current assignment may include text-only interaction.
Smart Syllabus is where courses can be structured with modules, learning units, assessments, and related content.
Access depends on your permissions (often tied to course membership). If you do not see Smart Syllabus in the navigation, ask your administrator.
The Admin Panel is for staff who manage the organization: users, departments, courses, groups, assistant assignments, API keys, and analytics.
If you do not have admin permissions, you will not see Admin Panel links.
Organizations can set limits on tokens, messages, files, images, or related usage. Limits help keep the service fair and within budget.
When a limit applies, finish your task in smaller steps, remove large attachments, or ask your administrator whether your assignment can be adjusted.
That usually means the URL or context is invalid, you are not a member of the required group, or you no longer have an active assistant assignment.
Return to Assistants and select a valid department, course, and group, or contact your administrator if your access should be restored.
Open Settings (gear icon on desktop or bottom navigation on mobile). Profile holds your personal details.
Theme (light/dark) is available from the header on larger screens. Match your environment for readability.
State your goal in one sentence, add constraints (level, format, length), and mention any document the answer should follow.
For factual questions, ask the assistant to point to its sources when it can, and double-check critical information with official course or workplace sources.
Do not paste passwords, full government IDs, or confidential data you are not allowed to share.
Sign out on shared computers, use a strong unique password for your account, and report suspicious messages to your administrator.
Treat assistant replies as guidance, not a substitute for policies, medical, legal, or safety procedures unless your organization says otherwise.
